Terms & Conditions – Bell Tents and Witch Huts

Booking

In order to secure your booking, a deposit of 30% is required at the time of booking along with providing your name, home and email address, contact telephone number, car registration and group details. The remaining 70% is payable four weeks prior to arrival. Should you make your booking less than 4 weeks prior to arrival, you will be required to pay the full amount on booking.

A security deposit of £30 per accommodation unit will be added at the time of booking to cover any damages, breakages and cost of additional time spent cleaning should the unit not be left in a reasonable state or if, in our opinion, you have behaved in an unreasonable manner. The damage deposit will be refunded in full at the end of your stay unless any of the above have occurred. Please see further information below.

Groups: We do not accept bookings for hen or stag do’s. When booking more than one unit it is important that respect is shown to other guests on site and on the caravan site. It is important to be aware that our site is a peaceful, tranquil and relaxing one and must remain so at all times. The person booking, when booking on behalf of other people, is responsible for disseminating the appropriate information to those persons that we send them. For example, these Terms and Conditions, health and safety information, the facilities, directions and the information given on arrival so they are fully aware of the nature of the site.

Cancellations

Payments for bookings are non-refundable under any circumstances other than if we are required to close the site, for example, due to a COVID-19 lockdown. If we are to close the site you will receive a full refund. If it becomes necessary for you to cancel your booking, please tell us immediately by telephone and then in writing and we will take every reasonable step to re-let the unit. If we manage to re-let the unit we will be happy to transfer your deposit to another time less a £10 administration fee.

We strongly recommend that you take our travel and cancellation insurance.

Covid-19 & Cancellation Policy

Ashleigh Farm strongly advises you to take out travel insurance for your stay, in the eventuality that someone in your party contracts Covid-19 or is told to self-isolate by Test and Trace. If you do not take out insurance, Ashleigh Farm cannot be expected to compensate for, or move your booking to another date.

Ashleigh Farm expects guests to follow the governments’ rules and keep abreast of changes that may affect their stay. If the government imposes a nationwide or local lockdown meaning Ashleigh Farm is forced to close the site, we will issue affected guests with a full refund or the option to move their booking to another time.

If you or a member of your party contracts, shows symptoms of covid-19 or is told to self-isolate before your stay:

  • 1 week or more before your stay, you must email contact@ashleighfarm.co.uk as soon as possible so we can attempt to resell your unit(s). If we can fill them with guests that you or we have found, we will refund your booking minus your deposit. If your unit(s) cannot be filled, unfortunately, we cannot offer a refund;
  • Less than a week before your stay you must email contact@ashleighfarm.co.uk as soon as possible. As this is such short notice, we will not be able to refund your stay, but we will be happy to transfer your booking to friends or family provided you let us know the new guests’ details.

Ashleigh Farm will have a Covid-19 risk assessment (which can be seen upon request) and we will be working hard to uphold hygiene and safety standards. Guests are expected to inform Ashleigh Farm if they test positive for Covid or if they come into direct contact with an infected person during or after their stay. Ashleigh Farm will contact any guests and staff who may have come into contact with an infected person following GDPR rules.

Check-in and Check-out

Check in is between 3.30pm and 7pm. We would appreciate it if you could let us know by email, text, messenger or phone of your estimated time of arrival so we can be ready to meet you.

Check-out is 10am.

General Terms & Conditions

Occupancy

Occupancy of bell tents must not exceed 2 adults and 1 child. Occupancy of witch huts must not exceed two adults and two children. We reserve the right to decline accommodation and/or ask you to leave the site at any time if your numbers exceed this. The booking will then be deemed cancelled with no refund.

Children

Ashleigh Farm welcomes families and we pride ourselves in providing a good environment for children. Games are provided in the information shed and there is a climbing frame in the garden which can be used at your own risk. Children MUST be accompanied by an adult at all times and you must accept responsibility for any accidents or injuries. Ashleigh Farm does not accept responsibility for any accidents or injuries when using the play equipment. Should you notice any damage to any equipment or games, please inform us immediately.

Visitors

We are unable to allow additional visitors to those who are booked to stay on our glamping site. We understand that this may be disappointing to some but we are happy to suggest alternative venues locally where you could meet.

Pets

Unfortunately, we are unable to allow pets of any sort on the glamping site.

Pond

There is a pond adjacent to the glamping area which guests may walk around at their own risk. Guests must be respectful of the area and considerate of the wildlife it attracts. There is a strict no swimming policy and will not accept visitors accessing the water at any time. There will be a life ring adjacent to the pond in case of emergency. We will not accept any liability for accidents or injury relating to the pond.

Lighting

Lighting is kept to an absolute minimum so that visitors can enjoy the night sky. Only the car park, bathroom area, the footpath to the glamping area and just outside each glamping unit has solar lighting so please bring a torch with you as it will be necessary when walking around the site at night. Also, it is important to be aware that the ground can be uneven in places and there are some natural obstacles such as trees around the site. We accept no liability for accidents and/or injury due to the natural setting of our site.

Smoking

Our site is a no-smoking site. This includes inside the tents and huts as well as the grounds around this area. Please vacate the area completely should you wish to smoke but be considerate of the local residential area and ensure that cigarette butts are collected up and disposed of safely and appropriately.

Fire pits, BBQs and wood burning stove

You are welcome to use the fire pit with BBQ grill supplied, however, it must remain in the position it is in when you arrive for fire safety reasons. Please ensure that the fire is sufficiently dampened down to a smoulder if left unattended. Please ensure that the BBQ grill is cleaned as much as possible after each use and at the end of your stay. A supply of fire-lighters, kindling and logs will be provided and further supplies can be purchased from us. Visitors must not use different wood to that supplied as it is specifically chosen to be environmentally friendly and to produce as little smoke as possible and therefore not affect other visitors or local residents. Please do not forage around the site for wood as it will be ‘green’ and could cause excessive smoke.

Please do not use other fire pits or BBQs to the one supplied.

Bell tents have wood burning stoves. Please only use firelighters, kindling and wood supplied and do not forage around the site for wood as it will be ‘green’, it will smoke excessively and it will cause damage to the stove. A fire guard is available on request.

Cooking

A Cadac two ring stove with gridle is provided in both bell tents and witch huts. You are welcome to use these to boil a kettle or warm through food inside the glamping units. Please do not use them to cook fatty, greasy or strong-smelling food inside the tents and witch huts as they will cause damage which can be difficult to rectify. The stoves are highly portable and you are welcome to move these to an outdoor space when needed. Please clean griddle pans before you leave. All accommodation is checked between stays and any damage caused will result in your deposit not being returned to cover the cost of additional cleaning.

Cadac stoves in the witch huts have a small heater which can sit over the gas ring and will heat the hut very quickly. Please do not leave this on unattended. Please also take care to leave it to cool fully before removing it and remove using the tool provided as the outside gets extremely hot.

Fireworks etc.

Fireworks, sky lanterns and the like are not allowed as they pose a risk of fire and are a danger to livestock.

Belongings

Ashleigh Farm accepts no liability for any belongings left on site at any time, including but not limited to within bell tents and witch huts. We strongly discourage guests from bringing any valuable items on their stay. If you must, we recommend leaving them locked inside your car at your own risk.

Nuisance

Guests must be respectful to other guests on site. Loud noise and nuisance will not be tolerated at any time and all noise must be kept to a minimum after 10pm. No amplified music or noise is allowed at any time. Guests who, in our reasonable opinion, are causing a nuisance may be required to immediately leave the site.

Groups

When booking more than one glamping unit it is important that respect is shown to other guests on site. Noise and movement should be kept to a minimum in the mornings and evenings in order to ensure everyone’s enjoyment of the site. It is important to remember that our site is a peaceful, tranquil and relaxing one and must remain so at all times.

Complaints

Please inform us of any complaints and we will do whatever we can to rectify any situations that you are not happy about. The enjoyment of your stay is of paramount importance to us and we pride ourselves on excellent customer service, so please give us the chance to work with you to solve any problems or issues and do not to jump to social media to express your displeasure prior to trying to resolve things face to face.

Wildlife and Creepy Crawlies

Please be aware that you will be staying in a rural area with live animals, wildlife and other creatures such as flies, crane flies, spiders etc. Whilst we make every effort to ensure that our glamping units are kept clean, we are unable to completely prevent bugs and creepy crawlies getting in. The beautiful sound of owls are often heard throughout the night and birds sing early in the mornings during the summer months. This, in our opinion, is a beautiful part of nature that we hope you will also enjoy. However, it is completely beyond our control and we accept no responsibility for disturbances of this kind.

Damage

Bell tents and witch huts are thoroughly cleaned and inspected for damage in between each visitor stay. However, please inspect your bell tent or witch hut at the beginning of your stay and inform us immediately of any damage found. If you cause any damage to the bell tent, witch hut or any items provided within please inform us immediately so that we can inspect the damage. We understand that accidents happen but often, damage is made a lot worse by being left without any clearing up until staff find it. We reserve the right to charge guests for any damage caused to your tent, hut, items or to the site in general. This includes additional charges should you use anything, such as confetti, that creates a need for a deeper clean to restore for the next guests staying.
